The University of Divinity seeks to recruit a Student Services Assistant for immediate commencement. This position is a full-time, ongoing position within the Office of the Vice-Chancellor, at the University’s St Paschal Campus in Box Hill, Victoria.

About the Office of the Vice-Chancellor

The Office of the Vice-Chancellor (OVC) provides shared services to the University’s staff and students and to the University’s Council, Academic Board and Colleges in the areas of finance, governance, information technology, operations, and student services. The OVC is located at St Paschal’s Estate, 90 Albion Road, Box Hill, Victoria.

The Student Services department is responsible for the administration of services relating to the life-cycle of a student, from enquiry through to graduation.

Position Description

The Student Services Assistant provides administrative and operational support to the Student Services department in the Office of the Vice-Chancellor, with a particular focus on student record management.

Responsibilities

  • Manage the email inbox for the Student Services and redistribute emails accordingly.
  • Manage all forms and logs associated with the Student Services inbox.
  • Generate, distribute and store admission letters to new domestic coursework students.
  • Administer the FEE-HELP/HECS-HELP and eCAF processes under the oversight of the Student Services Manager.
  • Assist with the administration of enrolment and completion data and documents, and management of student enrolment statuses.
  • Assist with production of academic transcripts, AHEGS and testamurs.
  • Provide data entry services as required by the Student Services Manager.
  • Provide clerical and data entry assistance for graduation ceremonies.
  • Administer the storing and archiving of hardcopy and electronic student records.
  • Administer University ID cards including the processing of OVC generated cards, stock control and distribution.
  • Collect and store College publication material and academic handbooks for staff use.
  • Provide support to other OVC teams, including front of house/reception duties as arranged.
  • Assist with triaging enquiries to the OVC including phone and email, and respond to prospective student enquiries.
  • Undertake other tasks as directed by the Student Services Manager.

Working relationships

The Student Services Assistant:

  • Reports to the Student Services Manager
  • Is a member of the Student Services Team

Selection criteria

Essential

  • Advanced data entry skills, including attention to detail
  •  Experience with student management systems
  • Administration/clerical experience including Microsoft Office Suite
  • Experience working within a team, meeting both individual and shared deadlines
  • Strong verbal and written communication

Desirable

  • Experience working in a Higher Education institution
  • Familiarity with Paradigm/Moodle/PRISMS/VEVO/TCSI

Key performance indicators

Ongoing and annual KPIs will be negotiated with the successful candidate.

Terms and conditions

The position of Student Services Assistant is a full-time ongoing appointment subject to completion of a six-month probationary period and satisfactory performance.

The position will be remunerated under the Higher Education Industry – General Staff award on the University’s salary scale at HEW 3.1 ($67,751.20), plus 12% superannuation and 17.5% annual leave loading.
