Job Opportunity | Administration Officer

The University of Divinity seeks to recruit an Administration Officer for immediate commencement. This is a part-time, fixed-term position within the Office of the Vice-Chancellor, at the University’s campus in Box Hill, Victoria.

Administration Officer Position Description

The Administration Officer provides front of house and administrative support to the Office of the Vice-Chancellor.

Responsibilities

  • Be the first point of contact at reception, fostering a friendly and welcoming atmosphere.
  • Receive and triage phone and email enquiries to the University.
  • Implement hospitality and venue set-up requirements for meetings and events held onsite.
  • Manage procurement of campus supplies and hospitality provisions within a budget.
  • Administer campus venue bookings and assist with administration and coordination of events, including Graduations.
  • Review and publish content to the University’s Vox website and social media profiles.
  • Assist the University Secretary with annual governance administration including preparation of governance and academic calendars, and archive filing.
  • During peak enrolment periods, provide data entry administration support to the Student Services Manager.
  • Undertake any other tasks as reasonably directed by the Operations Manager.

Working relationships

The Administration Officer:

  • Reports to the Operations Manager
  • Is a member of Office of the Vice-Chancellor
  • Works with University staff, students and tenants based at St Paschal Campus
  • Liaises with suppliers, vendors and contractors

Selection criteria

Essential:

  • Completion of a diploma level qualification with relevant work experience
  • Outstanding verbal and written communication
  • Strong attention to detail and accuracy
  • Strong computer and typing skills, with knowledge of Microsoft office products and diaries
  • Ability to work consistently when supervised and unsupervised

Desirable:

  • Experience in higher education
  • Familiarity using WordPress content management system and social media

Condition of employment

The Administration Officer position is required to work onsite due to the responsibilities of the role. Work from home arrangements do not apply to this position. The role is 0.4FTE which may be spread over 2 or 3 weekdays.

Key performance indicators

Ongoing and annual KPIs will be negotiated with the successful candidate.

Terms and conditions

The position of Administration Officer is a part-time 0.4FTE fixed-term appointment for 24 months, subject to completion of a six-month probationary period and satisfactory performance. The position will be remunerated under the Higher Education Industry – General Staff award on the University’s salary scale at HEW 4.1 (pro-rata of $78,312.46) plus 11.5% superannuation and 17.5% annual leave loading.
